Artists Vendor Showcase Information for Day of Event

Setup times are Friday 3 - 5 p.m. and/or Saturday 8 a.m. - 10 a.m. Tents are required. Must be setup by 10 a.m.
Artist application are closed. Apply early!
Held annually the second weekend in October, the Annual Belknap Fall Festival is a family-friendly and fun, two-day celebration to highlight the history and uniqueness of Belknap Neighborhood. Friday night features live music on stage and a beer garden.
All-day Saturday adds over 100 booths of juried arts and crafts, food and food trucks from local eateries, educational exhibits, non-profits, business vendors, and family fun activities. The festival draws a diverse crowd of adults and families with attendance in the upwards of 15 - 20,000. Admission is free.
The arts and crafts showcase is the backbone of the Belknap Fall Festival. Top artists are judged and awarded for their creativity. While many artists return year after year, we also welcome up-and-coming new artists or those whom have never attended before, especially looking for those with unique, hand-crafted items.
Every year we continue to try to improve the offerings we provide to our festival attendees. In order to provide a diversified artist showcase, we will be limiting the percentage of jewelry and soaps/candle vendors to a 25% of total vendors. Do not let this discourage you from applying, we will take the best of the applications and you may very well be chosen!
Artist Vendor Showcase is Sat. Oct. 14, 11am – 6pm. Rain or shine. You must be setup by 10 a.m. No exceptions. After this time, all vehicles in the area will be asked to be moved immediately in preparation of the start of the festival.
Historic Douglass Loop area in the Highlands of Louisville. 2200 block of Bardstown Road. Intersection of Dundee Road, Harvard, Yale and Wibben. Two miles from the Watterson Expressway, north on Bardstown Road. Hip and popular shopping area of Bardstown Rd.
The event has been held for 23 years and grows a little each year. Last year was an estimated attendance of 15,000 people.
PROMOTIONSThe festival is fortunate to receive a great deal of free publicity, including public news reports and appearances during the event. Our budget allows us to purchase promotion on all three Louisville Public Radio stations and additional print advertising. An informative website helps to promote the festival, as well as social media campaigns on Twitter, Facebook, etc. We will ensure that you have an easy way to provide links to our website for your customers and to help promote the festival.
We provide each artist with a 12-foot x 12-foot outdoor space on asphalt, indicated with boundary lines and booth numbers. Many spaces have a sidewalk behind them and/or shade trees. If this is important to you, let us know and we’ll see what we can do. We require a pop-up canopy tent to protect your inventory in case of wind or rain. The festival is held rain or shine. Weather data shows this weekend to be the driest and nicest period in October! The weather is usually sunny, and the temperature ranges in the 70s to 80s most of the time. If it happens to be rainy or windy, please plan accordingly. The event is held rain or shine.
JURIED ARTS AND CRAFTS
The Belknap Fall Festival Jury is comprised of a local team of volunteers committed to providing a quality artist selection. The Belknap Fall Festival Committee and the jury reserve the right to select the best mix of media among applicants. The jury will limit the number of artists in one category, such as jewelry, and will only choose the highest scores. Past participants are not guaranteed to be included in the jury from year to year. All arts must be handcrafted or enhanced at least 50% into a unique handcrafted work of art. All items displayed must be family friendly and in a professional manner. We encourage demonstrations of products at the booth. No resale of items made by others, including handcrafted items.
SETUP AND CLEAN-UP
All vendors must provide their own tents, tables, chairs and display materials. Canopy tent, which needs to be weighted, is required since the event takes place rain or shine. Please indicate on your application if an 8-foot table and two chairs is needed, and we will provide them for an additional $15 fee. Electricity is available ONLY for food vendors.
NOTE: Anyone using their own generator must receive approval from the Belknap Festival Committee to meet safety and noise considerations of neighboring booths. Generators should be very quiet and free of fumes/odors.
Clean-up must be completed by 7pm on Saturday. Most artist vendors choose to close their booths around 6pm because night-time lighting is not provided. Additional instructions on exiting Saturday evening will be provided.
Please sign-in at the Artist Vendor Signup location at the BNA booth when you arrive. Set-up of artist tents and displays is from 2:30pm-5:00 pm on Friday, Oct. 13. Uniformed security officers are provided by the festival to patrol on foot Friday evening and overnight. However, we strongly discourage leaving valuable merchandise inside the tents.
Set-up on Saturday morning begins 8am and must be completed by 10:00am. No sales on Friday or Saturday morning prior to 11am when the festival begins. Festival representatives, wearing solid red shirts, are available during set-up periods for questions, concerns or problems.
Judging begins at 11:15 am on Saturday. Awards (recognition, ribbons, and cash award) will be announced on stage and presented in the early afternoon. Awards should be displayed in your booth. We award a 1st, 2nd, 3rd, and Honorable mention awards.
DISCLAIMER: THE BELKNAP FALL FESTIVAL COMMITTEE AND OTHER SPONSORS OF THE EVENT ARE NOT RESPONSIBLE FOR LOST, STOLEN, OR DAMAGED GOODS OR MERCHANDISE. We strongly recommend bringing plastic sheets and tent weights in case of inclement weather and wind.
FEES AND REQUIREMENTS:
- Juried Arts and Crafts: $150 (incl. 12’ x 12’ booth space and required vendor permit)
- Request for 2 adjacent spaces (12’ x 24’): $290 if only one vendor permit is needed.
- Booth fee includes $10 temporary vendor permit that is required by Metro Louisville for any booth selling items. Vendor permits will be distributed Saturday morning.
- If vendor is not bringing their own tables/chairs, Festival can provide one 8-ft folding table and 2 chairs for $15.
- Payment is refunded only if vendor is not selected/accepted. No other refunds.
- Artists must upload digital photos of the artwork to be sold, information about the medium, how the artwork is crafted, and information about the artist(s).
- Pictures of booth setup are preferred.
- Only art and handcrafted items are permitted. No resale or production-line crafts.
- All artists must be re-juried, no matter how many years an artist has previously participated.
- Only two artists allowed per booth space.
OTHER IMPORTANT INFORMATION
All sales made by booth participants belong to the booth vendor(s). Belknap does not ask for a percentage of sales from artists.
Refunds are not made to participants who decide to cancel their booth space or do not show up. Refunds MAY be granted in extenuating circumstances if a participant notified the festival chairperson at the festival email address (firstname.lastname@example.org) by 9/1/17.
Only items described on the application can be sold or displayed. Any additional items must be approved by the jury prior to the festival.
No raffle tickets, games of chance, or other fundraising items for any organization, including packaged food, can be sold at booths, UNLESS approved by the jury. Our permit does not allow raffles, games of chance or fundraising. Any applicant who breaks these rules will automatically be revoked from any future Belknap Festivals and may be asked to leave immediately.
Disabled drop-off locations: Harvard Drive at either end of the street closure barriers. Please restore the barrier at its proper location if it’s moved.
